How to Enable Line Managers to Book Leave on Behalf of Employees Using Leave Customisation

In some businesses, especially those employing blue-collar workers without regular access to the Yomly platform, it’s essential to allow Line Managers to submit leave requests on behalf of their direct reports. This article outlines how to configure Yomly’s Leave Customisation feature to support this requirement.

📌 Objective

Allow Line Managers to submit leave requests on behalf of employees, particularly for those who do not have access to the platform (e.g. blue-collar workers).

  • Note: The existing functionality that allows HR Administrators to submit leave requests on behalf of employees remains unchanged. The “Request Leave” button will continue to appear for HR Admins by default and is not impacted by this configuration.

⚙️ Configuration Steps

1. Global Settings

To ensure leave requests cannot be submitted by all employees:

  • Navigate to: Settings → Customisation → Employee Profile → Leave Tab
  • Create a “Request Leave” component if it doesn’t already exist.
  • Set the visibility for the “Everyone” role to Hidden.

2. Business-Level Configuration

To allow only Line Managers to submit leave on behalf of their team:

  • Go to: Settings Customisation → Employee Profile → Leave Tab → Request Leave
  • Add the “Manager Role” and set it to Visible.
  • This enables Line Managers to see the request component and submit leave for their direct reports.

3. Advanced: Assign to Specific Managers Using Audience

If only a selected group of managers should be able to submit leave:

  • Create an Audience Group that includes those specific managers.

    • New Audience can be created under Settings → Organisation → Audience → Create Audience

  • Navigate to: Settings → Customisation → Employee Profile → Leave Tab → Request Leave

🔍 What Line Managers / Configured Audience Will See (Outcome)

Once the configuration is complete:

  • Line Managers will be able to navigate to the Employee Profile of their direct reports.
  • Under the Leave tab, they will see the “Request Leave” button.
  • Clicking this button will allow them to submit a leave request on behalf of the selected employee.
  • This feature is only available for employees who report directly to the manager, or those included within the configured audience group (if applicable).
  • Employees who do not meet this condition will not show the “Request Leave” option when viewed by the manager.

Sample Use Case:

Employee Name: Almir Lelic (Line Manager)

Direct Reports: 3 Employees

The Line Manager (Alimir Lelic) can access the ‘Request Leave’ button under the ‘Leave’ tab on the profile of their direct report (Anwar Bilal) and submit a leave request on their behalf.

This outcome ensures a controlled and secure process for managers to assist employees without platform access.

 

⚠️ Important Notes

  • HR Administrators always have access to the "Request Leave" button by default.

  • Attempting to override this using the customisation settings will not restrict their access.

  • The customisation outlined above only impacts the visibility for non-admin roles such as employees, line managers, payroll admins, etc.,

  • Leave Approval Pipelines remain unchanged - Any leave request submitted through this customisation method by Line Managers will follow the standard leave approval workflow configured for the businesses.

By tailoring visibility through global settings, business-level roles, and audience-specific permissions, you can ensure only authorised managers can request leave on behalf of employees — supporting operational needs, especially in environments where not all staff can access the platform.
