Employee profile management

This article explains the basics of employee profiles and helps you get started with viewing and managing the information available in different tabs.

In the web application's left sidebar, in the My HR section, you can click Profile.

How to navigate to another employee’s profile

The employee directory enables you to search and navigate to profiles of other employees.

To go to the employee directory, in the sidebar, in the Employees section, click View.

The employee directory lists all employees in your organization whose profiles you are allowed to navigate to.

To find the employee whose profile you want to navigate to, you can do any of the following:

  • Simply scroll through the list

  • Filter the employee directory by any column (Divisions, Teams, Locations, or Status)

  • Search for the employee by name, internal employee code, or email

When you find the required employee, click their name or click View on the right side (in the Actions column).

This takes you to the employee's profile, which displays only the information about the employee that you are allowed to access.

About profiles

Employee profiles contain all important information related to working at the organization such as the following, and more:

  • Employment details, qualifications, job description, transfers, and end of service calculations

  • Personal details, including information about dependents (if any) and emergency contacts

  • Information about salary, advances, and benefits, and salary payslips

About the contact card

When you navigate to your (or any other employee's) profile, the first section you see is the contact card.

Depending on your access level and business permissions, the contact card might also be the only section you see on profiles of other employees.

The contact card contains the employee's profile picture and some basic personal and employment information, such as the job title, line manager, direct reports, list of organizational units (OUs) and teams that the employee belongs to, business contact information, and more.

How to add your profile picture

Initially, until you or your platform admin adds a custom profile picture, your profile displays the default profile picture, which is a simple icon with your initials.

To replace your default or custom profile picture, you can do the following:

  1. Hover over the profile picture in your contact card until the icon-1.png (Edit) icon is displayed.

  2. Click the icon-1.png icon.

  3. Browse your folders and upload the required profile picture.

How to edit profile details

  •   If you have the permissions to edit multiple types of information on an employee's profile, the Edit profile button is displayed in the upper-right corner of the profile.

    To edit the information displayed in different places on the profile, click Edit profile.

    Editing a profile

    This opens the profile in edit mode, where you can do the following:

    • Edit the following in the profile's contact card:

      • Edit the information in individual fields. To do this, click Edit next to the field.

      • Replace the profile picture. To do this, click the icon-1.png (Edit) icon in the bottom-left corner of the picture.

    • Edit information in profile tabs. To do this, navigate to the required tab and update the information in its fields.

  •   If you have the permissions to edit only information displayed in a few specific tabs of your profile, the Edit button is displayed in the upper-right corner of those tabs.

    For example, all employees can update their own personal information in the Personal tab.

    To edit the information in a specific profile tab, navigate to the tab and click Edit.

About profile tabs

In your profile, below your contact card, your detailed information is organized in the following tabs:

To navigate to any tab and view the information about you available in it, you can simply click the name of the tab.

Depending on your access level and the permissions configured for your business, when viewing your own or any other employee's profile, you might be able to view all, some, or none of these tabs.

Depending on the permissions configured for your business, line managers, HR professionals, and payroll officers in your organization might also have access to additional tabs (for example, the Account tab) when viewing profiles of other employees. These additional tabs enable them to perform essential tasks related to employee and pay administration.

Employment tab

The Employment tab displays information about employment at your organization.

For example, in this tab, you can view the start date of employment, internal employee code, end of service tier, working pattern, leave group, dependents eligibility, and more.

Personal tab

The Personal tab displays personal information.

For example, in this tab, you can view the gender, nationality, citizenship, personal contact information, emergency contacts, and more.

As an employee, you can update your information (when applicable) in this tab to help your organization maintain up-to-date records.

How to add emergency contacts

You can provide your organization with your emergency contact information in one of the following ways:

  •  In the Contacts section at the bottom of the Personal tab, click + Add New Contact. Enter the details of your emergency contact and click Save.

  •  When viewing the profile in edit mode, in the Emergency contact field, click + Add Contact and enter the details of your emergency contact.

Detailed information

Dependents tab

The Dependents tab displays information about dependents.

For example, in this tab, you can view the relationship, personal information, contact information, and more, of each dependent.

Your profile displays this tab only if you are eligible for dependents' benefits based on your employment contract.

As an employee, you can add and update your dependents' information in this tab to help your organization maintain up-to-date records.

The number of dependents for whom you can add information is indicated in the Maximum no. of eligible dependents field in the Employment tab. This number is also based on your employment contract.

Salary tab

The Salary tab displays salaries and other payroll information.

For example, in the sub-tabs of the Salary tab, you can view the complete pay structure, cost centre, bank account details, recent payslips, and more.

Your access level and the permissions configured for your business determine what you can view and edit in the Salary tab when viewing profiles of other employees.

Also, organizations can take advantage of the advanced customization capabilities in Yomly to implement granular custom access to features and tasks for select groups of employees.

For example:

  • Managers can be restricted from viewing salaries of their direct reports.

  • A group of payroll officers might be allowed to update bank details of employees but not view salaries.

How to view and download your payslips

You can view and download your salary payslip for any payroll cycle from the Payslips tab (which is a sub-tab of the Salary tab).

To view a payslip, you can click its name. For example, if your organization runs monthly payroll, the name of each payslip would be the respective month and year.

Detailed information

Benefits tab

The Benefits tab displays information about benefits and salary advances, if available.

The information is organized in sub-tabs:

  •   The first sub-tab, Dashboard, displays the benefits dashboard, which summarizes the available employee benefits and provides insights about allocated and availed benefit amounts.

  •   The other sub-tabs display detailed information about the different employee benefits available.

    For example:

    • The Medical tab displays the medical insurance policy, list of network hospitals, key contacts, and more.
    • The Airfare tab displays details about airfare accruals.

    If your organization provides employees with any other benefits, the Benefits tab might contain additional sub-tabs that display their details.

    Detailed information about salary advances is displayed in a separate sub-tab called Advances.

Qualifications tab

The Qualifications tab displays academic qualifications and certifications.

As an employee, you can update your qualifications (when applicable) in this tab to help your organization maintain up-to-date records. You can upload your certificates as documents (PDF files) or pictures (PNG, SVG, or JPG files).

How to add your certificates

To add a new certificate, you can simply click Add New Certificate, upload your certificate, and enter its details.

Detailed information

Movements tab

The Movements tab documents the employee's entire career progression within the organization.

For example, in the sub-tabs of the Movements tab, you can view details of onboarding, probation, promotions, internal transfers, disciplinary concerns, termination and resignation, end of service benefits, and more.

Timeline tab

The Timeline tab visually represents milestones and events in the employment journey on a timeline. You can filter the information displayed in this tab by date.

My Job tab

The My Job tab displays the detailed description of the job role.

For example, in this tab, you can view the role title, effective date, and job description.
