Adding or updating bank details for employees

You can configure the details of employee (salary) bank accounts either when adding them to the platform or at any other time from employee profiles. 

You can do the following:

Depending on your organization's policies, you can add or update employee bank details, or allow employees to add or update their details themselves. To prevent or enable an employee to add or update their bank details themselves, you can lock or unlock the bank details for the employee. See Locking and unlocking bank details.

Adding new bank details

To add new bank details for an employee from their profile, do the following:

  1. Open the employee's profile. Do the following:

    1. In the sidebar, in the Employees section, click View.

    2. On the View employees page, click the name of the employee whose bank details you want to update.

  2. Go to the Salary > Bank details tab.

    This tab displays the bank account details of the employee currently available on the platform.

  3. In the upper-right corner of the profile, click Edit profile.

  4. Click + Add bank details.

  5. Enter the following details:

    1. In Account description, enter the account name.

    2. In Account type, select one of the following options:

      • IBAN & routing code

      • Account number & routing code

      • Account number & swift code

      • IBAN & swift code

      • IBAN & bank name

        Select this option only if you have entered bank details only for internal use.

      • IBAN, bank name & lcc code

      You can choose the combination of account identifiers that best suits your business requirements and based on local laws.

      For example, in the UAE, you would require a UAE bank routing code and an IBAN or account number. On the other hand, for international bank accounts, you would typically require an IBAN and SWIFT code.

    3. Enter the required details based on the selected account type.

      For example, if you have selected IBAN & routing code in Account type, you would need to enter the following details:

      1. In IBAN, enter the International Bank Account Number (IBAN) of the employee's bank account.

      2. In Routing number, enter the routing code of the employee's bank.

    4. In Bank name, enter the name of the employee's bank.

    5. In Country, select the country in which the bank account is based.

    6. In Currency, select the currency of the employee's salary.

      You can select only the currencies that you have enabled in Payroll settings. For more information, see Enabling only required currencies.

  6. Click Save bank details.

The bank details are added to the tab and assigned as the employee's active (current) bank account.

Editing current bank details

To edit current bank details for an employee from their profile, do the following:

  1. Open the employee's profile. Do the following:

    1. In the sidebar, in the Employees section, click View.

    2. On the View employees page, click the name of the employee whose bank details you want to update.

  2. Go to the Salary > Bank details tab.

    This tab displays the bank account details of the employee currently available on the platform.

  3. In the upper-right corner of the profile, click Edit profile.

  4. Click the name of the bank account for which you want to edit details to expand the section

  5. Click Edit bank details.

  6. Enter the following details:

    1. In Account description, enter the account name.

    2. In Account type, select one of the following options:

      • IBAN & routing code

      • Account number & routing code

      • Account number & swift code

      • IBAN & swift code

      • IBAN & bank name

        Select this option only if you have entered bank details only for internal use.

      • IBAN, bank name & lcc code

    3. Enter the required details based on the selected account type.

      1. In IBAN, enter the International Bank Account Number (IBAN) of the employee's bank account.

      2. In Routing number, enter the routing code of the employee's bank.

    4. In Bank name, enter the name of the employee's bank.

    5. In Country, select the country in which the bank account is based.

    6. In Currency, select the currency of the employee's salary.

      You can select only the currencies that you have enabled in Payroll settings. For more information, see Enabling only required currencies.

  7. Click Save bank details.

The new bank details are added and assigned as the employee's active (current) bank account.

Locking and unlocking bank details

You can lock employee bank details to prevent unauthorized or frequent additions, updates, or edits, which would be reflected in your pay run reports and other auditing documents.

If you have locked an employee's bank details, the employee would need to request you (or any other member of your team with the same platform admin permissions) to unlock it if they want to update the details. The request is then displayed to you as a pending letter request.

To lock or unlock the bank details of an employee, do the following:

  1. Open the employee's profile. Do the following:

    1. In the sidebar, in the Employees section, click View.

    2. On the View employees page, click the name of the employee whose bank details you want to update.

  2. Go to the Salary > Bank details tab.

    This tab displays the bank account details of the employee currently available on the platform.

  3. Do one of the following:

    • To unlock previously-locked bank details, in the upper-right corner of the tab, click Unlock.

      The bank details are unlocked for the employee.

    • To lock bank details, in the upper-right corner of the tab, click Lock.
