How to Create a Letter Template

 

Please find below a detailed instruction on how to create a Letter request.
 
You would first need to create a letter template for your Business in a Word document to know what is required . What logo, what fields, etc. 

Steps

  1. Please go to Settings - Customization - Templates - Add Template

  2. Assign a name to this template - eg) Salary Certificate , NOC letter , etc.

  3. Select the 1st Radio button and click on "Template Tags"

    Notes

    "Template Tags" are the tags that should be used in your Word document so that the values are picked up from the Employee profile. Eg) Click on "Current Date" - This will give you the date in double brackets {{date}} and this should be copy-pasted to the Word document as it is. You can look for First name and Last name or Legal full name. Please go through the Template list to see what is available and what isnt.

  4. Once the Word Document is updated with all the Template tags, save it on your computer.
  5. Now click on the second radio button on the letter request and click on "click here to browse" to select and upload the Word file you just created.



  6. If you would like the Letter request to be specific for a group of people, then you would need to set an Audience. For a detailed instruction on how to Create an Audience , please follow the instructions in Audiences
  7. It is always advisable to keep "Auto Approval" unchecked.
    If this is enabled, employees would be able to download an approved letter the moment they request for it.
    If unchecked, HR Admins would need to  approve a letter request, before the employee has access to Download the approved letter.
  8. Save and activate the template.
     
    We have created a Template , but this is not yet visible for Employees.
