Issuing salary payslips for employees

After completing (closing) a pay run, you can issue salary payslips for each employee.

To issue payslips, do the following:

  1. In the sidebar, in the Business section, click Payroll.

    The Pay Runs tab, which displays all pay runs (open and closed) generated previously, is displayed.

  2. View the pay run for which you want to issue employee payslips.

    To do this, click View in the Action column.

    The pay run is displayed.

    You can issue payslips only from completed pay runs. If the pay run you are viewing is still open, you must first close it. For more information, see Completing pay runs.

    Similar to completing pay runs, the workflow for issuing payslips depends on whether the payroll group associated with it has a pipeline configured.

  3. Do one of the following:

    • If a pipeline is configured for the payroll group associated with the pay run, to issue payslips, select the option that represents this action from the drop-down menu (if it is available).issuing-payslips-2.png

      If a pipeline governs the pay run workflow, in the upper-right corner of the generated pay run, a drop-down menu is displayed instead of action buttons.

      This menu displays options that represent the actions that you can perform in the current stage of the pipeline.

      Depending on how the configured pipeline is implemented, you might even require additional approval to issue payslips for employees.

    • if no pipeline is configured for the payroll group associated with the pay run, to issue payslips, in the upper-right corner, click Issue payslips.issuing-payslips-1.png

      If the workflow of the pay run isn't governed by any pipeline, you can perform default pay run actions.

      The actions that you can perform are represented as action buttons in the upper-right corner.

    The platform generates payslips for all employees associated with the pay run.

Viewing generated payslips

After issuing payslips for a closed pay run, you can view any employee's payslip in their payroll profile.

To view the payslip of an employee that you generated for the current pay run, do the following:

  1. Go to the payroll profile of an employee. Do the following:

    1. Find the employee whose payslip you want to view.

    2. In the Action column, click View.

    The employee's payroll profile is displayed.

  2. In the payroll profile, go to the Payslip tab.

    The employee's payslip is displayed.

You can also download employee payslips as PDF files. To do this, in the upper-right corner, click Download PDF.

The payslips you issue for each pay run are also displayed in the Payslips tab in the Salary tab on employee profiles. See the following example:

Employees can view their own payslips from here and download them as PDF files.

If you reopen a pay run after issuing payslips for it, the issued payslips are recalled. After updating the pay run (based on your requirement), you must complete the pay run and reissue payslips.

Downloading employee payslips

After issuing payslips for a closed pay run, you can download them to Documents, and subsequently to your computer.

You can download the payslips of all or only the required employees in a pay run. If you want to download the payslips of a select group of employees in the pay run, you must first filter the pay run.

To download employee payslips (from the current pay run), do the following:

  1. (Optional) To display only the list of employees whose payslips you want to download, filter the pay run. For more information, see Searching and filtering pay runs.

  2. In the upper-right corner, click Download Payslips. rn-april-14-5.png

    The Download Options dialogue is displayed.

  3. In the dialogue, do the following:

    1. Select one of the following options:

      • To download payslips of all employees in the pay run, select Download All.

      • To download payslips of the filtered list of employees, select Download Filtered.

    2. Click Download.

    The payslips are downloaded to Documents.

    In Documents, the downloaded payslips are saved as PDF files in a new folder. The path and naming convention of the folder depends on whether or not you filtered the pay run from which you downloaded payslips. For more information, see Where can I find my downloaded payslips in Documents?

    You can view and download the payslip for each employee individually. To do this, in the Actions column, click ... > Download.

    The new folder also includes a zipped folder with all payslips to help you easily download them to your computer.

Where can I find my downloaded payslips in Documents?

The path and naming convention of the folder in Documents that contains your downloaded payslips depends on whether or not you filtered the pay run before downloading payslips from it.

If you have downloaded payslips of all employees in the pay run, you can view them at the following path:

Home > Downloads > (Pay run name) > (Pay run name) - Currency (Payroll group name) - All Employees > (Employee name).pdf

For example, you can view the downloaded payslips of all employees of the Monthly payroll group paid in AED in the May 2023 pay run in the following folder:

Home > Downloads > May 2023 > May 2023 - AED (Monthly) - All Employees

If you have downloaded payslips of a filtered list of employees in a pay run, the name of the folder additionally indicates the date and time of the download. You can view the downloaded payslips at the following path:

Home > Downloads > (Pay run name) > (Pay run name) - Currency (Payroll group name) - Filtered - (Export date and time) > (Employee name).pdf

For example, you can view the downloaded payslips of a select group of employees of the Monthly payroll group paid in AED in the May 2023 pay run, downloaded at 11:30 AM on 31 May 2023, in the following folder:

Home > Downloads > May 2023 > May 2023 - AED (Monthly) - Filtered - 31 May 2023 11:30 AM
