Leave Balance Report for Employment Anniversary–Based Leave Groups

Some businesses follow a fixed leave year (for example, January–December or April–March), while others calculate leave entitlements based on an employee’s employment anniversary.
In an employment anniversary–based leave group, each employee has a unique leave year cycle based on their joining date.

Example

An employee who joined on 10 June 2020 will have a leave year cycle from:
10 June 2024 to 9 June 2025

Since each employee’s leave year differs, it is not practical to generate individual leave balance reports manually. To address this, Yomly provides a dedicated report:

How to Access "Leave Balance Report - Anniversary" Report.

  1. Navigate to Reports → Leave → Leave Balance Report – Anniversary.



     

  2. Click Filter, then select Month–Year.
  3. Choose the furthest future month available.
  4. Click Apply to apply the filter.


     
  5. Click the Download icon and select XLSX format.


Notes

  • Always select the furthest future month available.
  • If you select the current month, leave bookings made for upcoming months will not be reflected in the report.

 


Report Details 

The Report would show

  • The employees hire date.
  • The Leave year cycle they are in until the month selected
  • Total Accrued
  • Total Allocation
  • Annual leaves booked
  • Sick leaves booked
  • Unpaid leaves taken
  • Leave Balance




Understanding Multiple Leave Cycles

If an employee’s employment anniversary falls within the selected month, you may see two leave cycles in the report, for example:

  • 2024–2025

  • 2025 (up to the selected month)

This is expected behavior and ensures accurate reporting of:

  • Leave taken in the previous cycle

  • Leave accrued and booked in the new cycle

Although this may appear confusing at first, it provides a complete and accurate view of leave balances across both periods.
