Sharing documents with specific audiences using folders

In Documents, folders enable you to share and manage documents.

As an employee, you can create folders and upload documents to them.

When creating a folder, as its owner, you set up permissions to allow only select groups of employees to view, edit, and/or delete documents from it.

These groups, called audiences, need to be preconfigured by your platform admin.

For example, you can create a (shared) folder and set up permissions to enable you to share a set of documents with only your own team.

However, to achieve this, an audience that includes only the members of your team is prerequisite.

You can create folders in the My Folders tab either directly in your Home folder or in any other folder.

To share documents with only specific audiences using a shared folder, do the following:

  1. In the sidebar, in the My HR section, click Documents.

    Your Home folder (in the My Folders tab) is displayed.

  2. (Optional) Go to the folder in which you want to create a new folder.

    You can also create a folder directly in your Home folder.

  3. In the upper-right corner, click + Add > Add Folder.

  4. In the Add Folder dialogue, enter the folder Name and Description.

  5. Click Audience and select an audience from the list.

  6. Select the permissions that you want to configure for the audience.

  7. (Optional) Select another audience and configure its permissions.

    You can add multiple audiences and configure different permissions for each of them.

  8. Click Save.

    Your new folder is displayed.

  9. Click your new folder to go to it.

  10. In the upper-right corner, click + Add > Upload File.

  11. In the Upload New File dialogue, use drag-and-drop or click the box to browse and manually select the document that you want to upload.

  12. If applicable, select a Document Type.

  13. Click Upload.

The document is uploaded and added to the folder. Only employees who are a part of the audience configured for the folder can access the folder.

    Under the audience, is there an option to select a specific employee? Cause we cannot find it in the list.
