About working patterns

Working patterns are sets of rules and policies that define how employees work in an organization. They enable HR professionals and resource planners to do the following, and more:

  • Calculate hourly and daily wages, paid and unpaid leave, overtime compensation, and other pay components
  • Monitor attendance and deviations
  • Plan and manage work distribution and employee scheduling

As a platform admin, you can create and configure working patterns based on any unique requirement of your organization.

For example, you can create working patterns to account for each of the following scenarios, and more:

  •   5-day working week with standard work timings (9:00 AM - 5:00 PM) and weekends off

  •   Different weekends in different geographic locations based on local laws

  •   5-day working week with 2 (non-weekend) consecutive or non-consecutive days off

  •   6-day working week with standard work timings

  •   Work shifts and/or 5 or 6-day working week with non-standard work timings

  •   Fixed number of working hours in a week with flexible timings

  •   Part-time work

Default versus contractual working patterns

When creating and configuring a new business on the platform, the first working pattern you create is automatically set as the default working pattern.

Changing the default working pattern

You can set any working pattern as the default one for your business when doing the following:

  • Creating a new working pattern
  • Editing an existing working pattern

All businesses must always have default working patterns configured.

If you need to delete the working pattern configured as the default one for your business, you must first configure a different default working pattern in its place.

You can set up the default working pattern's work timings or duration based on your business hours or the contracted hours of a typical employee.

Then, based on the actual contracted hours of different employees in your business, you can create multiple additional working patterns. You can assign these working patterns to employees as their contractual working patterns in one of the following ways:

An employee's working pattern defines their working and break hours. Therefore, it plays a key role in determining their availability, especially to resource planners who want to schedule them for work.

The default working pattern configured for the business is considered in relevant calculations for all employees who are not assigned any (contractual) working patterns.

Types of working patterns

You can create the following types of working patterns for your business:

Type Description
Standard

Standard working patterns define employee work policies and timings to a very specific degree.

When configuring standard working patterns, you must do the following:

  • Define the number of contracted hours per working day
  • Configure working days and days off in the week
  • Configure start and end times for working days
  • Define one of the following for daily breaks:
    • Start and end times
    • Duration
  • Define the maximum working hours allowed and minimum working hours required per working week
  • Enable or disable shift rotation
  • Define the maximum overtime allowed per week
  • Mandate a minimum gap between successive shifts

For example, you can create standard working patterns to implement work shifts. The settings of this working pattern type facilitate scheduling by providing you with valuable insights about employee availability.

Flexible

Flexible working patterns loosely define employee work policies and timings.

When configuring standard working patterns, you must do the following:

  • Define the number of contracted hours per working day
  • Define the minimum number of working hours required per day
  • Configure working days and days off in the week
  • Define the duration of daily breaks
  • Define the maximum overtime allowed per week

For example, you can create flexible working patterns to implement flexible work timings for employees.

Viewing and managing working patterns

Viewing working patterns

To view the list of working patterns that you can assign to employees in your business, do the following:

  1. In the sidebar, in the Business section, click Settings.

  2. Go to General > Working Pattern.

    All working patterns that you can configure for employees in your business are displayed.

You can simply click any working pattern to expand it and view its details.

Editing working patterns

In the General > Working Patterns tab in your business settings, click the icon-1.png icon in the right corner of any working pattern to open it in edit mode.

If you edit the working pattern type and/or any type-specific details of the working pattern, you must generate the pattern again before saving your changes.

Deleting working patterns

In the General > Working Patterns tab in your business settings, click the icon-4.png icon in the right corner to delete it.
