About Expenses

Expenses is a comprehensive expense management solution that enables you and your organization to process and manage expense reimbursements seamlessly.

As an employee, you can use Expenses to submit claims for your expenses. You can upload supporting documentation, such as receipts, and add them to your expense requests.

After including all the expenses that you want to reimburse in your requests, you must submit your requests for approval. The approval process for expense requests entirely depends on your organization's policies; a request might need to be reviewed and approved by a number of employees from your management, HR, and payroll team before reimbursement is initiated.

When requesting expense reimbursements, you are typically notified at each approval stage through email and push notifications.

After approval, your organization's financial policies govern how your reimbursements are processed.

For example, the currency exchange rate considered for overseas expenses depends on your company policies.

Expenses is completely integrated with Payroll. Therefore, organizations can manage, audit, and route reimbursement payments through Payroll. Organizations can schedule their expense reimbursements during recurring (regular) or ad hoc pay runs.

Navigating to Expenses

To go to Expenses, in the sidebar, in the My HR section, click Requests > Expense Reimbursements.

Viewing and managing expense requests

When you navigate to Expenses, the Expense Requests page is displayed. On this page, you can view and manage the following expense reimbursement requests:

  • Your expense requests (created by you or another employee, such as your HR admin)
  • Expense requests that you are an approver for.

This page lists all the expense reimbursement requests that you have created in a table and provides key information, such as the date, amount, and status of each request.

Filtering the list of expense requests

By default, this page lists all your own expense requests and (if applicable) all expense requests that you are an approver for. You can filter this list by employee name or status.

To do this, in the upper-right corner, click Filters, and select the required filters.

For example, you can select only the Draft and Pending approval checkboxes to view all requests that are pending for review by your expense approver.

You can also filter the displayed requests by date. In the upper left corner, in Select date range..., select the date range in which you want to view expense requests.

Performing quick actions on expense requests

When viewing the Expenses Requests page, you can do the following:

  • To view and edit the details of any request, in the Action column, click View.
  • To delete any request that is in Draft or Pending Approval state, in the Action column, click Delete.

You cannot edit or delete expense requests after they are approved.
