We’re thrilled to introduce our latest release, packed with significant enhancements and new features aimed at improving the leave management module.

What’s New:
This update brings a variety of improvements and features designed to enhance your experience and streamline leave management processes.

 

Feature Description
Future Leave Request Across Calendar Years

Employees can now apply for leaves spanning multiple future years, allowing for better long-term planning. The system will take into account current leave balances, rollover settings, and any negative balance allowances when booking these leaves. Leave bookings for each year will be treated as separate transactions to ensure accuracy and flexibility.

Each business may have its own unique leave type configurations, and this feature is designed to support all possible combinations. Below are the key logic points to consider when booking future leave.

  • Based on annual allocation - Future leave requests are allowed based on the annual leave allocation for the next year.
  • Based on rollover threshold - Leave requests consider any rollover balance from the current year as part of the available future leave.
  • Based on negative balance threshold - Requests can be made up to a defined negative balance threshold, allowing for future leaves to be booked in advance.
  • Combination of rollover and negative balance threshold - Both rollover balances and the negative balance threshold are combined to calculate the total future leave eligibility.

Removal of Spanning of Years Donut Chart and Integration with Specifc Leave Types Donuts

Removed the “Spanning of Years” balance donut chart to streamline and enhance the clarity of leave balance displays. Instead, the default leave type donuts will now be used to show leave balances across multiple years. This change provides a more intuitive and consolidated view, ensuring a clearer understanding of leave balances without the need for separate charts.

Negative Balance Feature for Allocated Leave Types

Previously, the negative balance feature was only available for the “Accrued” leave type. With this enhancement, the negative balance feature is now standardized and available for the “Allocated” leave type as well. This update provides employees with greater flexibility in managing their leave and enhances the system’s ability to calculate future leave requests across multiple years.

 

New Capability:
  • Maximum Negative Balance Threshold: HR Admins can now set a customizable threshold for the maximum negative balance (in days) that employees are allowed to request within a calendar year. This feature allows for more controlled leave management while offering flexibility to employees in need of additional leave.

Leave Rollover Expiry

We are excited to introduce a new feature that allows users to define a rollover expiry period for leave types. This feature ensures that employees can utilize their rolled-over leave within a specified timeframe before it expires. The feature applies to both calendar and anniversary-based leave types.

  • When rollover expiry is enabled with a set threshold in the leave type entitlement settings, employees will be able to see the rollover entry record and the expiry date on the Leave grid summary. This will be triggered on calendar or anniversary year based on the business settings.

  • Once the threshold is crossed, a deduction entry will be made, reflecting the expiry of the rollover.
  • Employees can utilize the rollover leave within the period specified by the business admin before it expires.

Leave Type Entitlement Settings Example:

    • Annual Leave Allocation - 20 Days
    • Rollover - Enabled with 5 Days
    • Rollover Expiry Threshold - 2 Months (Jan 01 - Feb 29)
    • Total Available Balance - 25 Days

Note: The 5-day rollover balance must be utilized before Feb 29.


Leave Request Example:

    • Leave Requested - Feb 10 - Feb 20 (Total 10 Days)
      • Remaining Balance - 15 Days.
    • Use Cases:
      1. Leave Approved by Line Manager:
        The remaining balance of 15 Days is available for the employee to utilize for the rest of the year.
      2. Leave Declined by Line Manager (Before Feb 29):
        The balance of 15 Days is returned to the employee.
      3. Leave Declined by Line Manager (After Feb 29):
        The balance of 10 Days is returned to the employee, and a deduction entry is created for the 5 Days of expired rollover.

This enhancement provides better visibility and control over leave management, ensuring that employees don’t lose their rolled-over leave and can use it within the set timeframe.

Employees to utilize the annual leave balance before applying for an unpaid leave​

Employees should be restricted from applying for unpaid leave when they have available annual leave balance. This ensures businesses can optimize leave management and maintain accurate records of paid time off.

Key Changes

  • Introduced a checkbox labeled “Use Annual Leave Balance Before Unpaid Leave” in the leave type settings. This will show when you enable the “Unpaid” leave option.
  • When enabled, the system will automatically check the employee’s annual leave balance before allowing unpaid leave. If disabled, employees can apply for unpaid leave without restrictions.

Maximum Duration of Leave and Maximum Occurrences Validation for Future Leave Requests​

We have enhanced the system to improve how leave requests are validated, ensuring better compliance with organizational leave policies. Previously, the system only validated “Maximum Duration of Leave” and “Maximum Occurrences” within the current calendar or anniversary year. This caused inconsistencies for leave requests submitted for future dates. With this update, these validations will now apply to all future leave requests, ensuring consistent enforcement of leave rules across the entire leave year.

Key Changes

  1. Maximum Duration of Leave:
    • The system now validates the maximum number of days an employee can request for a single leave application for future requests as well.
    • This validation is enforced once per leave year, preventing employees from exceeding the allowed duration for any leave request submitted for current or future dates.
  2. Maximum Occurrences:
    • The system now correctly limits the number of leave requests that can be submitted within a leave year for future leave dates.
    • The recurrence of this limit can be configured by months, days, or years, offering greater flexibility and compliance with various organizational leave policies.
